Start from the ceremony and work backwards
Fix the ceremony start time first, then subtract. Photographers usually want the couple on site 45 minutes before guests arrive. Guests should arrive 30 minutes before the ceremony. Working back from a 4pm ceremony: guest shuttles start their first loop at 3pm, the bridal party arrives at 3:15, and the couple's car leaves the getting-ready location at 2:30.
Count the vehicle movements, not the vehicles
The mistake couples make is counting cars instead of trips. One stretch limousine can do three separate runs in an afternoon if the timeline allows, which is cheaper than booking three vehicles. But if two of those runs overlap by fifteen minutes, you need two vehicles. Map the movements on a single sheet and the answer becomes obvious.
Guest shuttles for out-of-town guests
If more than about a third of your guests are staying at one hotel, a shuttle loop is worth it. A Sprinter or mini coach running a fifteen-minute cycle for two hours before and two hours after moves a hundred people without anyone parking, driving after drinks, or arriving late. It usually costs less than couples expect, especially compared with a valet contract.
Build in NYC-specific slack
Add fifteen minutes to every crossing between boroughs. Add thirty to anything that touches the Brooklyn Bridge, the Williamsburg Bridge or the Lincoln Tunnel on a Friday. If your ceremony and reception are in different boroughs, that transfer is the highest-risk moment of the day and deserves its own buffer.
Put it in writing and share it
Give the run sheet to your planner, your photographer and every chauffeur. Every vehicle should have the same document. On the day, one person should be the transport contact so chauffeurs are not calling the bride.
